Terms and conditions
By signing and returning the registration form to Tracy Lowe Swim School Ltd, you have agreed to the following terms and conditions so please read carefully.
If you decide to Opt out of any marketing, Newsletters or mailing lists then you will NOT receive any correspondence from Tracy Lowe Swim School including any cancellations or Pool closures.
You can change your mind at any time by clicking the unsubscribe link in the footer of any email you receive from us, or by contacting us at email@example.com. We will treat your information with respect, but it is the quickest way of notifying you of any changes and pool cancellations. You can also unsubscribe from updates here: Unsubscribe me
Please ensure that all course fees are paid in advance by monthly direct debit both need to be 1 month before the course starts, otherwise your space may be offered to someone else.
This is spread over 12 months to ease the cost for either 35/36/37 weeks of swimming lessons (depending on what day you come), please complete the DD Mandate.
If you wish to leave at anytime 1 months notice is required (during term time) but you will only pay for the lessons you attend till the 1st of the following month (these lessons will be in term time only). I just need to know by the 20th to stop the DD from going out on the 1st of the following month. If there is any adjustment for over or underpaid lessons then I can do this on your final payment. If sufficient notice is not given then we reserve the right to collect any monies outstanding in the event of this agreement not being upheld.
The fees are non-refundable and non-transferable.
Cheques are no longer accepted due to Bank charges. If your cheque is returned from the bank unpaid there will be a £10.00 admin charge as well as any payment charges which are incurred due to bounced cheques or failed DD payments.
You will be automatically booked on to the same class on the next course unless you tell Tracy otherwise. Courses run in line with the school holidays so may vary, term dates will be posted on the web site:

Please give me 1 month’ notice if you wish to leave, this is essential for the smooth running of the classes/Swim School.
Cancelling your direct debit : We recognise that many people’s circumstances change. In such an event, should you wish to cancel your direct debit we ask that you notify us in writing. This needs to be done before the 20th of the month in order to be effective from the 1st of the following month. Where notification is not received by 20th of the month, we reserve the right to collect any monies outstanding in the event of this agreement not being upheld. When your data is inputted on to a 3rd party site i.e. Go-Cardless I do can not see your private details but confirm that I do NOT control the data stored on those sites.
Refunds and cancellations/catch ups
Under GDPR if you have opted out of any mailing lists/newsletters then you will not receive any information about any cancellations or closures!
It is with regret that I cannot offer catch ups lessons due to the lack of availability.
Tracy Lowe Swim School Ltd or the Pool owners may on occasions have to cancel a class due to unforeseen problems; I will either lay on an additional date or offer you an alternative option.
If insufficient children are booked into your class, I reserve the right to cancel the class for that course. In that instance you will be offered an alternative slot.
I am sorry to say that I am unable to refund any lessons cancelled due to unforeseen circumstances like diseases etc.
I am sorry but I am unable to refund or reschedule lessons that maybe missed due to local adverse weather conditions. If the venue and roads are accessible and the teacher is there lessons will take place as normal.
Medical conditions/Health records – Consent Policy
For health and safety reasons, please do not bring your child into the pool for 48 hours after suffering from diarrhoea. Or in the case of Cryptosporidium then no swimming for 14 days after the symptoms have stopped.
If you are unsure of your child’s illness please seek doctors’ advice before returning to lessons.
Under the GDPR your consent is required when passing on anything about any medical conditions on the pupil registration form. It is your responsibility to notify Tracy Lowe Swim School of ANY changes in their medical condition or learning disabilities as soon as possible. This information will be only passed onto the teachers of Tracy Lowe Swim School by a secure app and not used in any other way so will not be show on the teachers registers on poolside.
All incident forms are completed at the time of incident and stored on file at the registered address under lock and key.
Photography and Video
No photography other than by our professional photographer is permitted at any time, in accordance with the Child protection Laws.

In line with the GDPR guidelines please tick the box if you do NOT wish your child’s photo to be used on any of the Tracy Lowe Swim School Marketing tools.
Under GDPR (2018) all your private data will NOT be shared with anyone other than the Swimming Teachers at Tracy Lowe Swim School Ltd. Your data will be solely used for the purpose of the swimming lessons at Tracy Lowe Swim School Ltd and will only be shared for as long as you are a paying customer. Any emails or correspondence will be kept and used solely between the staff at Tracy Lowe Swim School Ltd.
Under GDPR this counts as your continued permission and consent for your personal data to be kept and shared with the staff at Tracy Lowe Swim School Ltd for the purpose of swimming lessons only and to be kept on file (Access Database held in Dropbox) for 3 years after you leave. The information is stored on an Access Database in the cloud in Dropbox and is password protected. All paper copies and registers are either shredded or kept under lock and key at the registered office. Your data will not be passed onto a third party. Any emails or correspondence will be kept and used solely between the staff at Tracy Lowe Swim School Ltd.
All babies and toddlers who are not potty trained need to wear a “Happy nappy”, which is a swim nappy and a Happy Nappy over the top. Please ensure that all nappies are taken away with you. Where possible change your baby on the floor to avoid accidents. Remember supervision is your responsibility not the Teachers.
There is to be only one adult in the pool at a time with each child, other family members may sit and watch.
The class sizes are small at Tracy Lowe Swim School in comparison with other local swim schools and Leisure Centres. The beginner classes are usually 4 pupils per teacher but once they are swimming lengths comfortably then this number increases to 6 or more pupils per teacher/coach. On occasions if the class numbers are too low you will be offered an alternative class at the discretion of Tracy Lowe.
Health and Safety/Pool issues
Some physical contact with your child is unavoidable and all staff adheres to the ASA(Swim England)/STA Child Protection guidelines. This will be dealt with in a professional and caring manner.
Please make sure that your child as eaten 1.5 hours before swimming.
Customers should aim to arrive no more than 15 minutes before the lesson and leave no more than 15 minutes after the lesson to help improve changing room comfort.
Please do not arrive late for your lesson as this can unsettle the other children.
Please ensure that you take your outdoor shoes and socks off as soon as you enter into the Changing rooms as the floor does get very muddy and dirty. Please store your shoes in the shelving or plastic boxes provided. All those entering the pool agree to shower before entering the pool.
All children have to wear a hat for swimming (excluding Parent & Baby/Toddler classes) and shower before entering the pool.
No prams or car seats should be taken onto the poolside or changing rooms.
Whilst on poolside please keep the noise to a minimum so that all lessons offer a peaceful atmosphere. Please wait quietly for your lesson. Please do not enter the pool until the teacher says it is safe to do so and you must tell the teacher if leaving the pool before the end of the session.
Customers are responsible for their children at all times on poolside, in the changing rooms and on the pool premises, not the teachers. No running please!
Customers are expected to behave in a civilised manner towards the teacher and other customers/pool owners and you are not allowed to use foul language at any time.
Tracy Lowe and the pool owners reserves the rights to ask anyone to leave the poolside or Swim School at any time if they feel that the behaviour is unreasonable.
No food, glassware/crockery or sharp objects is allowed within the pool premises. Do not drink alcohol or chew gum.
All plasters and hair clips must be removed before swimming in case they cause damage to the pool filters.
No make-up or body lotions are to be used as these deteriorate pool water quality.
Smoking is strictly forbidden within any pool building or grounds.
Please ensure that you take all your rubbish home with you.
Valuables and Jewellery
Please leave all valuables and Jewellery at home or in the car, Tracy Lowe Swim School or the pool owners cannot accept any responsibility for any loss or damage of any personal possessions.
Personal belongings are left at the owner’s risk.
If a teacher is unwell or cannot attend a session I will endeavour to arrange a cover teacher. I will give as much advanced warning as I can in these situations. All the Teachers are fully ASA and STA qualified with their teacher rescue Award, CRB check and their own insurance.
I aim to provide a good customer service, however if you are not happy for any reason please speak to the teacher or assistant in the 1st instance or email/ring Tracy Lowe to try and resolve the matter satisfactorily.
Be realistic about your child’s abilities and do not over-expect. This can cause much harm when children consistently fall short of their parents expectations.
Tracy Lowe Swim School Ltd does not accept responsibility for any personal injury or fatality, loss or damage to persons or property that may arise directly or indirectly from any child/children’s participation, or loss of property or articles left on the premises. I will not seek to penalise, prosecute or claim compensation from Tracy Lowe Swim School Ltd or its Teachers and assistants for any injury, loss or damage.
Changes to Terms and Conditions
Tracy Lowe Swim School Ltd reserves the right to review and update the terms and conditions. You have the right to disagree to the amendments but this needs to be in writing, 2 weeks after receiving the changes.
In the event of an emergency then please clear the pool and wait instructions from the Teacher and pool owner. No attempt should be made to retrieve or recover your possessions from the changing rooms or anywhere else in the building. If necessary you will be evacuated and lead to the correct meeting point.
